How to Choose the Perfect Wedding Venue: Questions Every Couple Should Ask

April 21, 20266 min read

Your venue shapes everything — the aesthetic, the logistics, the atmosphere, and ultimately the memory. Before you fall in love with a space, ask the right questions. Here is our professional guide.

Of all the decisions in a wedding, the venue is the most pivotal. It sets the tone for every element that follows — the florals, the lighting, the guest experience, even the dress code. Before you sign a contract or allow sentiment to cloud your judgement, walk through these essential questions.

The right venue holds your vision, your guests, and your story all at once.

1. What is the venue's true capacity?

Every venue has a maximum legal capacity — but that number rarely accounts for comfort. Ask for the capacity for a seated dinner with a dance floor, not just the standing figure. A room that holds 300 for a cocktail reception may feel cramped for 200 at a sit-down dinner. Always leave breathing room.

2. What is and isn't included in the hire fee?

Venue hire fees can be deceptively low when essential elements — tables, chairs, linen, lighting rigs, AV equipment — are excluded. Request a detailed inventory of what is provided. Some venues offer preferred vendor lists (catering, florals, lighting) — understand whether these are mandatory or advisory.

3. How does the natural light change throughout the day?

Natural light is your most important photographic asset. Visit the venue at the time of day your ceremony or reception will take place. Afternoon light pouring through west-facing windows creates a warmth that no artificial light can replicate — but a poorly positioned room can turn your ceremony into a silhouette against glare.

4. What is the noise policy and curfew?

Many venues — particularly heritage buildings, hotels, or those in residential areas — have strict music curfews, often between 11pm and midnight. If a long evening of dancing is part of your vision, confirm the permitted decibel level and end time before you fall in love with the space.

5. Is the venue exclusive-use?

Exclusive hire means no other weddings or events take place on the same day. This is particularly valuable at hotels, where a second event in an adjacent ballroom can undermine the sense of intimacy and exclusivity. Many couples pay a premium for exclusive use — and almost always feel it is worth it.

6. What is the wet weather or contingency plan?

If any element of your celebration relies on an outdoor space, understand the contingency plan in detail. Is there a covered alternative? At what point does the decision to move indoors have to be made? An elegant marquee or permanent covered terrace is very different from a hastily arranged backup room — clarify this before signing.

Evening receptions transform entirely when the right lighting and intimate layout are in place.

7. What are the logistics for guests?

Consider how guests will arrive, where they will park, and how accessible the venue is for elderly or mobility-impaired family members. Consider the distance from accommodation options. A stunning but inaccessible venue creates friction that detracts from the guest experience — and the best weddings are the ones where guests feel well looked after.

  • Confirm maximum seated capacity including dance floor
  • Itemise all inclusions and exclusions in the hire fee
  • Visit at the same time of day as your event
  • Clarify music curfew and noise restrictions
  • Confirm whether hire is exclusive
  • Understand the outdoor contingency plan
  • Assess accessibility and parking for guests
  • Ask about supplier access hours for setup and teardown
  • Request references from previous weddings
  • Understand the cancellation and force majeure clauses
